AgentFloz builds automated systems that carry out defined business tasks inside software our clients already use. This policy explains what we do with information, and it distinguishes between two groups of people, because our responsibilities to them are different.
1. Two relationships, two roles
Website visitors and prospective clients. When you browse this site, submit the contact form, or book a call, we decide what happens to that information. We are the controller of it.
Our clients’ data. When a client engages us, we work inside systems they own: their email, their advertising accounts, their project boards, their website. Data in those systems belongs to the client. They decide what is collected and why. We act on their instructions as a processor, or a service provider under California law.
If you are a customer or patient of one of our clients and want to know how your information is handled, contact that business directly. They control it. We will support their response, but we cannot answer for them, and we will not act on their data without their instruction.
2. What we collect from visitors
- What you give us. Your name, email address, phone number, business name, and anything you write in the contact form or booking request.
- What is sent automatically. Your IP address, browser type and referring page, in standard web server logs.
Contact form submissions are delivered to us through our customer relationship system, named in section 5, and are used to answer your inquiry and to contact you about working together. Nothing more.
We do not sell personal information. We do not share it with advertisers, and we do not use it to build profiles.
3. What we access for clients
Depending on what a client asks us to run, our systems may access:
- Email, to triage, categorize, draft replies and produce briefings
- Calendars, to prepare meeting notes and schedule work
- Advertising accounts, at view-only partner access, to produce performance reports. Clients own and pay for their own advertising accounts. We never take ownership of a client’s advertising account.
- Project and CRM boards, to create and update records of work
- File storage, for documents produced during an engagement
- Website content and analytics, where we manage a client’s web presence
Access is granted by the client, is limited to what the work requires, and can be withdrawn by them at any time.
4. Automated processing and artificial intelligence
Our services use AI models to process the data described above. That is the core of what we provide, so we would rather state it plainly here than leave you to find it.
Content from the systems we are given access to, which can include the text of emails, documents, records and reports, is sent to third party AI providers to be processed. Those providers are named in section 5.
A person reviews anything that reaches a client or a third party. Our systems draft and prepare; they do not send client-facing communications on their own. Where a system runs on a schedule without per-item review, that is agreed with the client in writing first, and its output is recorded so it can be audited afterwards.
We do not use client data to train AI models, and we choose providers who make the same commitment for data submitted through their business interfaces. If that ever changes, this page changes before it takes effect.
5. Who processes data for us
These third parties may process data on our behalf. Each has its own privacy policy.
| Provider | What it is used for |
|---|---|
| Anthropic | The AI models that run our automated systems |
| Google (Workspace) | Email, calendar and file access during engagements |
| Monday.com | Client records, project tracking and delivered reports |
| Meta Platforms | Advertising performance data, at view-only partner access |
| Publishing our own marketing content | |
| GoHighLevel | Contact form submissions, client communication, campaign delivery and text messages |
We update this list when it changes. Clients under contract are told before a new provider begins handling their data.
6. Health information
We provide marketing, reporting and operational services. We do not access patient records, medical charts, or clinical systems. Where we work with healthcare practices, our access is limited to marketing, advertising and business operations data.
If a healthcare client needs us to handle protected health information as defined by HIPAA, a Business Associate Agreement must be in place before any such access begins.
7. How long we keep things
- Inquiry and contact form data: kept while we are in contact with you about working together, and for a limited period afterwards. Ask us to delete it sooner and we will.
- Client engagement data: kept for the length of the engagement and for a limited period afterwards, so that delivered work can be evidenced.
- Records of what was delivered: we keep a record that work was performed for a client, including after the engagement ends. That is our own business record, and it does not include the client’s underlying data.
A client can request deletion of their data at any time, and we will action it promptly, except where the law requires us to retain something.
8. Security
Access to client systems is granted per engagement and limited to what the work requires. Credentials are held so that they are not readable in ordinary working files, and are never placed in shared documents, message threads or source code. Access is revoked when an engagement ends.
We cannot guarantee absolute security and will not claim otherwise. If a breach affects your data, we will notify you and any relevant authority within the timeframes the law requires.
9. Your rights
Depending on where you live, you may have the right to:
- Ask what personal information we hold about you
- Ask for a copy of it
- Ask us to correct it
- Ask us to delete it
- Object to, or restrict, how we use it
- Ask us not to sell or share it. We do not sell personal information.
Email hello@agentfloz.com to exercise any of these. We respond within the period the applicable law requires, and we will not treat you differently for asking.
If your data sits inside a client’s systems, we forward the request to that client, because it is theirs to answer.
10. Text messages
We send text messages only to people who have agreed to receive them, and each kind needs its own consent:
- Non-marketing messages about appointments, notifications, events, reminders, services and follow-ups, to people who tick that box on our contact form. This also covers operational alerts to members of our own team.
- Marketing and promotional messages, such as special offers, discounts and product updates, only to people who separately tick the marketing box.
Both boxes are optional and unticked by default. Giving your mobile number is optional too, and your request is handled the same way whether or not you consent.
- What we collect. The mobile number you give us, which kinds of message you consented to, and the date and way you gave that consent.
- How we use it. Only to send the messages you agreed to receive.
- Opting out. Reply STOP to any message and we stop sending. Text HELP to +1 (888) 799-2974 for assistance. You can also email us.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party. Our messaging provider, GoHighLevel, named in section 5, delivers messages on our behalf and only for that purpose.
Message frequency varies. Message and data rates may apply. The terms of our text messaging program are in our Terms of Service.
11. Cookies
This site uses only what is necessary to serve the page. We do not use advertising cookies, analytics cookies, or tracking pixels. There is nothing here that follows you to another site.
12. Children
Our services are for businesses. We do not knowingly collect information from anyone under 16. If you believe a child has given us information, email us and we will delete it.
13. Changes
We post changes here and update the date at the top. For changes that materially affect how client data is handled, clients under contract are told directly rather than being left to notice this page.
